What is Multi-Factor Authentication?
Multi-Factor Authentication (MFA) is a robust security method used to shield your online accounts from unauthorized access. It accomplishes this by demanding a minimum of two different forms of identification to authenticate your identity when you log in. These identification forms, or 'factors,' could include something you know (like a password), something you possess (such as a mobile device), and something inherent to you (like your fingerprint). By insisting on multiple authentication factors, MFA introduces an additional security tier, significantly impeding unauthorized actors' ability to access your accounts.
Frequently Asked Questions About MFA
Q1: Why do we need to use MFA?
A1: MFA provides an extra layer of security to your accounts. It reduces the risk of unauthorized access because even if someone obtains your password, they would still need another form of verification to gain access.
Q2: What types of factors are used in MFA?
A2: Common factors include knowledge factors (something you know, like a password or PIN), and possession factors (something you have, like a smartphone or hardware token).
Q3: What if I lose my device used for MFA or get a new device?
A3: If you lose the device you use for MFA, please contact the IT department immediately. They can assist you in setting up MFA on a new device and help ensure that your account remains secure. Similarly, if you have a new phone and need to set this up again, please contact the IT department and they will assist in this process.
Q4: Does MFA assure complete security for my accounts?
A4: While MFA significantly enhances security, no method is 100% foolproof. It's important to use strong, unique passwords and to be aware of phishing attempts that could try to trick you into revealing your credentials.
Q5: Does the Sentry MFA application track my activity?
A5: No, the Sentry MFA application is designed to provide security for your accounts. It does not track your personal activity or use your data beyond the scope of its security functions.
Q6: Why does the QR code not scanning?
A6: While setting up MFA, please ensure you are scanning the QR code from within the Microsoft app. If you scan the QR code from a camera app, you will receive a message similar to "No data found" or "No information found", this means you are not scanning the MFA code from within the Microsoft app.
Setting Up Multi-Factor Authentication
For iOS Users:
- Download and install the Microsoft Authenticator app from the App Store.
- If prompted to sign into an account, skip those screens until you see a blank screen that says add your first account.
- Tap the '+' button to add a new account, and select 'Work or school account.'
- When asked to sign in or scan a QR code, select scan a QR code. This will open your camera WITHIN the app, you will not want to use your normal phone camera app.
- You can now set your phone down for a moment. Navigate to https://mail.office365.com/ and sign into your Sentry email address.
- Follow the on-screen instructions to complete your MFA setup. This typically involves scanning a QR code provided by Microsoft 365.
- After scanning the QR code, you will be asked to verify the sign-in request using the MFA you just set up on your phone. You will be given a two-digit code to put in on your phone, then press yes to confirm.
- When asked for an app password, you can set it to whatever you would like, we typically name it 'SentryApp'.
- Once configured, you will be asked to confirm your identity via the app every time you sign into Microsoft 365.
