Task Manager Grid
Task Number Filter
Before this release, the user was not able to filter the task grid by task number.
With the new release, a new “Task Number filter” has been added to the Advanced Filters section. When the user enters a value and clicks Search, the system will return the task with the exact match of the task number entered.
Task Number Column
The existing “Item Number” column has been renamed to “Task Number” to maintain consistency with the new filter name.
Parent Task Link
Previously, there was no way to identify for a child task, which Recurring or Standard Template a child task was created from.
With this release, we added within the “Task Number” column, an icon next to each task indicating its parent task number (the template that it was generated from).
The parent number is also a hyperlink. Clicking it opens the View Task screen of the corresponding Recurring or Standard Template in a new tab.
Besides the icon, we also added a new option called:
- See Template: visible when the parent is a Standard Template
- See Recurring Template: visible when the parent is a Recurring Template
Both actions perform the same function as the hyperlink: they open the parent template’s View screen in a new tab.
Create task from a closed template
Before this release, the user was able to generate tasks from closed Standard Templates and this is an incorrect behavior.
With this release, we removed the “Select” option for Closed Standard Templates, and thus a user can no longer select a Closed Standard Template to generate a child task from it.
View/Edit Child Task
Before this release, there was no way to know from which recurring or standard template a task was created in the View or Edit screen for a children task.
With this release we added a new datapoint called “Template”, displaying the number of the parent template that generated the child task, that is also a hyperlink the user can select and open the View screen for the Recurring or Standard Template parent in a new tab.
View Task
Invoice column
Before this release, within the View Task screen, the user is not able to see the invoice number related to each one of the subtasks generated.
Now, we included the “Invoice Number” column also in the View Task screen allowing users to identify the corresponding invoice for each subtask.
New/Edit Template Screen Validations
Back Button Alert
Before this release, when the user went back using the Back or Cancel button in the New or Edit Template screen, the system navigates back to the task grid without any warning.
With the new release, an alert will now appear if there are unsaved changes, asking the user to confirm whether they want to leave the page or stay and save their work.
Close Template
Previously, the system allows closing a template no matter is it has open sub tasks.
This behavior has been corrected, and from now on the system will validate if there are any open sub tasks before closing a template. If there are open sub tasks on the template, the system will automatically close all associated sub tasks along with the main template.
New/Edit Template Changes
Files Format
Previously, the system let you upload files with any extension/format such as mp4, mp3, exe, html, etc. with no restriction in the selection.
To improve accuracy and enforce proper documentation standards, the system now restricts file uploads to only .pdf and .jpg formats. When the user clicks the Browse button, only these file types will be selectable.
Sub task List Changes
Close sub task action
In addition to the existing option to close a sub task from the modal drop‐down, we included a new action called “Close” that will be enable for all the open sub tasks.
This action includes a new validation: at least one of the fields (Labor hrs. + Labor Rate) or Material Cost must have a value greater than $0.00. If both fields are $0.00, and the task is assigned to a Sentry Maintenance Vendor, the system will display the following alert:
Invoices Data
The following invoices data won’t be visible for templates:
- Invoiceable Information section
- Invoice History section
- Invoice Number column
- Invoiced status
- Generate Invoice button
Show Invoice History
The Show Invoice History button within the sub task modal is no longer necessary for templates either and has been removed in Release 4.
Notes
In the previous version, users could only add or edit notes for a task by selecting an action from the grid view and then navigating to the Notes tab to edit or delete existing entries.
In this version:
- A new “Notes” section has been added directly to the Add/Edit Task screen.
- This section allows users to add, edit, and delete notes without leaving the task form.
Notes managed in this new section are fully synchronized with the Notes tab in the grid view, meaning both areas act as mirrors of each other. Any change made in one location will be immediately reflected in the other.
System Feedback & Usability
Spinners
- Before this release, some actions in the system did not have a loading spinner, showing the user the system is processing the action they are seeking to complete, causing the user to click buttons multiple times. With the new release, a spinner will appear in the following screen
- Add Task and Edit Task
- Add Recurring Template and Edit Recurring Template
- Add Standard Template and Edit Standard Template
- For the following actions:
- When saving changes.
Toast Alerts
- Before this release, some actions in the system did not have a toast alert to know that the action was successfully completed or not.
From now on, the system will start displaying the following alert messages
- Add Task: “Success! The [name of the task] was successfully created!”
- Save Task: “Success! The [name of the task] was saved."
- Generate Invoice: "Success! The invoice was generated successfully and sent to CommunityPro AP Invoicing and Corporate Accounting for processing."
- Error: “An error occurred!”
